    What Independent Shops Overpay For

    Independent shop owners negotiate hard on parts and pay retail on everything else. Here are the nine categories where it costs the most, and what to do about it.

    Every shop owner I know negotiates hard on parts. They know their matrix, they know their margins, they know what their supplier's competitor would charge, and they'll spend twenty minutes on the phone over four points.

    Then they pay sticker on everything else.

    Not because they're careless. Because business services are boring, the contracts renew silently, and nobody ever walks into the shop to say "you're paying too much for merchant processing." So the rate set in 2019 is still the rate today, and the only person who benefits from that is the vendor.

    Here are the nine categories where it costs the most.

    1. Merchant Processing

    The most quietly expensive line item in most shops. Rates drift upward through mid-qualified surcharges and monthly fee additions that nobody reads. A shop running $80,000 a month in card volume can be paying half a point more than necessary and not know it. That's $4,800 a year for nothing.

    2. Business Insurance

    Garage liability, garagekeepers, property, workers' comp. Renewals are usually automatic, and the premium moves with your loss history and your carrier's appetite, not with what the market would actually charge you today.

    3. Payroll and HR Services

    Per-employee-per-month pricing is easy to sign up for and hard to compare. Most shops are on a plan they chose when they had four employees and now have eleven.

    4. Marketing and Web Services

    The category with the widest spread between what shops pay and what the work is worth. Monthly retainers that renew indefinitely for maintenance that takes two hours.

    5. Legal

    Not litigation, the routine work. Employment agreements, lease review, entity structure, buy-sell agreements. Most shops either overpay hourly rates for it or, more expensively, skip it.

    6. Accounting and Bookkeeping

    Worth paying well for. Also worth knowing whether what you're paying is competitive, and whether you're getting advisory work or just compliance.

    7. Uniforms and Laundry

    Small dollars, long contracts, automatic escalators. Read the renewal clause on yours.

    8. Waste and Environmental Services

    Used oil, filters, solvent, tires. Regional pricing varies enormously and the contracts are notoriously sticky.

    9. Coaching and Training

    Real value when it fits, expensive when it doesn't. The question is whether you're getting a program built for a shop your size.

    What to Do About It

    You don't need us for this. Pull twelve months of invoices for whichever of the nine you use, and get one competing quote on each. Give yourself an afternoon. Most owners find four figures. Some find considerably more.
